The Legal Bit
Privacy policy
Last updated 1 October 2026
Short version: we only collect what we need to do your tax, we keep it safe, and we never sell it. The long version is below.
1. Who we are
fleeme is a trading name of [legal entity name], [registered address]. We provide tax and accountancy services to taxi, private hire and app-based drivers in the UK. For the purposes of UK data protection law, we are the data controller of your personal information.
We are registered with the ICO under registration number [ICO number].
2. What we collect
When you send us an enquiry:
- Your name, email address and phone number
- How you drive and what help you need
- Anything you choose to tell us in your message
If you become a client, we also collect:
- Proof of identity and address, for anti-money laundering checks
- Your National Insurance number and Unique Taxpayer Reference
- Income records, including platform statements such as Uber tax summaries
- Expense records, receipts, mileage logs and bank statements
- Any other information needed to prepare your tax return or accounts
3. Why we use it
We use your information to:
- Reply to your enquiry and decide if we're the right fit, because you asked us to
- Prepare and submit your tax returns and MTD updates, to perform our contract with you
- Carry out identity and anti-money laundering checks, because the law requires it
- Keep records for the periods required by HMRC and money laundering regulations
- Run and improve our service, where we have a legitimate interest in doing so
We'll only send you marketing if you've said yes, and you can say no at any time.
4. Who we share it with
We never sell your data. We only share it when we need to:
- HMRC, to file your returns and deal with your tax affairs
- Software providers we use for bookkeeping, MTD filing, secure storage and our client portal
- Resend, to deliver emails when you send us an enquiry, and Cloudflare Turnstile, to protect our contact form from spam
- Identity verification providers, for anti-money laundering checks
- Our professional body or supervisor, if required for regulatory reviews
- Law enforcement or regulators, where the law requires it
Anyone we share data with must keep it secure and only use it for the purpose we gave them.
5. Where it's stored
Your data is stored in the UK or EEA wherever possible. If any provider processes data outside these areas, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement.
6. How long we keep it
Enquiries that don't go any further are deleted within 12 months. Client records are generally kept for six years after our working relationship ends, to meet HMRC and anti-money laundering requirements. After that, they're securely deleted.
7. Keeping it safe
We use encrypted storage, secure file sharing through our client portal, strong passwords and two-factor authentication. Access is limited to people who need it to do your work. Please don't send sensitive documents by unencrypted email.
8. Your rights
Under UK GDPR you have the right to:
- Ask for a copy of the information we hold about you
- Ask us to correct anything that's wrong
- Ask us to delete your information, where we don't have to keep it by law
- Ask us to restrict or stop using your information
- Ask for your information in a format you can take elsewhere
- Withdraw consent at any time, where we rely on it
To use any of these rights, email us at [email address]. We'll reply within one month.
9. Cookies
This website doesn't use advertising or tracking cookies. Our fonts are served by Google Fonts, which means your browser connects to Google's servers when you visit. If we add analytics in future, we'll ask for your consent first and update this policy.
10. Complaints
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
